Payroll automation app

Purpose of the App

The BSNA Payroll Automation Application enables you to submit, refine and track requests for payroll change requests. The types of requests that the application manages:

One-Time (IT0015)
Recurring (IT0014)
Adjustment (IT2010)

Accessing the App

The BSNA Payroll Automation Application is hosted on your BSNA SharePoint site. Click here to find out about accessing your SharePoint site.

Dashboard

The Payroll Automation Application dashboard provides a summary of three (3) key metrics:

Submitted

Requests Submitted

The number of requests you have submitted through the app in the last week

Requests
Processing

Requests Processing

The number of your requests currently being processed by BSNA

Requests
Completed

Requests Completed

The number of your requests BSNA has processed to completion in the last week

Click the “View” button inside any of the metric boxes to see a list of corresponding requests. Use the quick access links at right to submit a new payroll change request.

Submitting a New Payroll Request

From the Requests page,

  1. Select a request type in the first dropdown
  2. Click the Create Request or click the quick access links on your site’s home page
  3. Provide your request data in one of the following ways:
    1. Drag a request file into the blue dotted upload area of the page
    2. Click into the blue dotted upload area of the page and select a file from your computer
    3. Click the “add a manual entry” link in the blue dotted upload area and manually provide your request data

To submit a request, select a Pay Area and Payroll Period.

Scroll down to locate the Create button. Draft status will permit you to return to the request later. New status will submit your request to BSNA.

Following the submission of a request the screen will update to display your new request so that you can make edits, uploads and other changes.

Reviewing and Editing Payroll Requests

Clicking Edit next to any request will enable you to review, check for duplicates, adjust entries and save/submit.

Download Submission Templates

You can click the “Download” button in blue on each Submit A Request screen. Fill in the downloaded file (one for each type of request) and use that to upload your request.

Validation

The Payroll Automation Application verifies all payroll change entries against your company’s employee records. The provided first name, middle initial (if used), last name, nickname (if used), PERNR and Cost Center must match an employee to allow entry. Each row with violations of this validation will be marked in red and noted at the bottom of the form. Correcting errors are required in order to submit your request.

Notes

The Payroll Automation Application supports threaded notes and communication between you and BSNA staff. Simply click “Add Another Note”, type in your comment, and click Save Note. You will receive an email once BSNA responds.

Merge

To merge two different request entries into one consolidated entry, click two or more rows to activate the Merge Tasks button.

Merge

A popup window will allow you to preview and confirm your selection prior to merging. Once merged, the original entries will be greyed out. The active post-merge entry will be viewable on the Submission page.

Check for Duplicates

Clicking the Check for Duplicates button will review all provided request entries and look for rows that appear to be duplicate requests. Two or more entries with identical names, PERNRs, Cost Centers, Pay Areas or Wage Types will be identified as duplicates. A single merged entry will be suggested as an updated single entry to replace the duplicates.
